Practice management system set-up & support
PsychologyCo* is an established practice with 30 practitioners. Their previous on-premise practice management system was proving costly to maintain and didn’t provide the functionality required for a modern practice – such as payments integration with HiCaps and Medicare, accounting system integration or online client intake forms.
Additionally, with all files stored on an on-premise server, communication between the admin team and practitioners (who often worked via telehealth) was proving difficult.
JD Stride was engaged to identify, implement and support a cloud-based PMS and solve the file management problem.
We conducted a thorough review of their current systems and processes – including a discovery session with the admin team to identify key pain points and areas for improvement.
We then researched and tested a variety of cloud SaaS Practice Management Systems (PMS) to identify one that best suited their needs.
Our technical team then planned and implemented the new cloud PMS including the migration of all data from their on-premise system, integration with their accounting system and clinical payments system.
All files were migrated to Shared Drives on Google Workspace (the same platform as their emails). Appropriate role-based sharing and permissions were put in place.
Significant IT cost savings were realised by eliminating the need for an on-premise server, internal network, on-premise software licences and remote desktop login connections.
The Administration team saves time on every consultation via:
- online intake forms. Clients can now complete an intake questionnaire – containing highly sensitive information – securely online.
- online invoicing and real-time payment processing full integration with Hicaps and Medicare.
The productivity of psychologists has increased through the introduction of:
- Online calendars with integrated, secure video conferencing and automated SMS appointment reminders.
- Secure case notes and clinical tools to assist with monitoring client progress.
Practice dashboards and detailed reporting provide management with the business intelligence required to make forward-looking decisions.
JD Stride continues to manage and support Google Workspace and the cloud PMS for their team.
